In the Administrative Assistant job, you will be:
Responsible for the RDS email account, acting on requests and referring where necessary
Providing confidential secretarial support; minute taking, appointment/course reminders, and arranging transportation requirements
Maintaining systems; inputting confidential data, updating personnel details, managing a confidential file structure and document retrieval system
Acting as point of contact between all other departments of NWFRS, outside partners and other external agencies, and commercial organisations of the fire and rescue sector
Preparing documentation, following up requests, processing forms, and assisting with the recruitment process
Assisting with running of events such as open days/evenings
Providing other administrative support including; filing manual and electronic documents, running reports, assisting with enquiries, preparing mail, maintaining stationery and completing consumables and stock re-ordering
You may be required to undertake additional or other duties as necessary to meet the needs of the Service
To be considered for the Administrative Assistant role, you will have:
Previous administration experience including inputting and typing skills at 35 wpm
NVQ level 3 or equivalent qualification in business administration or possess an equivalent amount of proven experience
Intermediate IT skills; Microsoft Word, Excel, Outlook and Access, plus an ability to utilise IT databases
Strong proven communication skills
Prioritisation skills, working to deadlines and responding positively under pressure
An ability to work as part of a team or independently using own initiative
Level 4 Welsh Language Skills
Full valid driving licence
An ability to work a non-standard pattern of work to include evenings and occasional weekends
Physical ability and dexterity to carry out the manual handling requirements associated with the post
This is a permanent vacancy, working 37 hours, Monday to Friday although this will include some evening work. You will typically be based in either Llandudno or Colwyn Bay fire station, with a blend of agile working also available. The role will be supporting fire stations in Conwy County and so travel between stations in this area and other service locations will be required.
In return, you’ll receive a salary of £21,695 to £22,571 per annum PLUS a range of employee benefits and training opportunities. The pay will also attract an 8.5% pay allowance for working out of hours.
